Chauffer's Induction & Training

Chauffeurs mandatorily should be having minimum of 3 years of driving experience. Valid License / address proof and background verification check (all records should be maintained) Police Verification Driving Test / route Knowledge, Presentably check. Chauffeurs are trained by certified trainer. Basic phraseology.

Behavioral aspects

To maintain polite. humble and courteous behavior always religiously follow standards and polices set by MST & Client Be soft and courteous while opening and closing the calls (Implementation of telephonic etiquettes) Always maintain positive ness and prompt willingness to serve them in every situation.

Personal grooming

Always be cleaned shaved, neatly dressed, smelling fresh Always wear a smile while interacting with the opposite person. Do not interrupt while another person speaks and always be respective. Keep your workplace neat and tidy also know your workplace well. Keep your integrity High.

Executives

Executives to attend weekly briefings Should have knowledge of Fleet strength and daily movements. Knowing your workplace well. Important Instructions passed by the Clients / Channel Partners should be written and followed accordingly All relevant information related to chauffeur’s knowledge related to guest travel arrangements should be updated.


General Procedures

All duty slips / invoices should capture all relevant details of traveler’s assignment following complete instructions.

All information of assignment done as per format of MIS or any issues is timely maintained and mailed to department heads. Any issues related to transportation should be immediately escalated to the unit head or branch manager.

Chauffeurs are briefed in advance about the assigned duty. Chauffeurs to maintain courteous and helpful attitude from handling the guest baggage's to anything which would make the travel safe and pleasurable. Cars with enough fuel and fit for duty .



Pre-operational procedures

All the reservations are entered in the Travel mate Software and Chauffeurs are updated about the same on the driver application.

Cross checking confirmations and car driver details are received by the traveler in case of Direct Clients as well bookings from channel partners. Informing the chauffeur to report 15 Mins prior to Reporting Time. Always ask the chauffeur 05 minutes prior to start the vehicle and keep the airconditioning on.

Cars and Chauffeurs outlook to be compulsorily checked and made sure it is in line with the expected standard levels of our deliverables. Maintain uniformity of all the vehicles. Maintain operational chart / car tracker availability.

Refreshing the cars before and after completion of every assignment. Capturing and following p/ups generated Timely by accessing the emails refreshing in 15 Mins. Back provision of additional cars be kept if requirements exists.



Pickup Procedures

P/up to be strictly followed as per reports generated and any additional bookings received via email or software to be updated in the movement chart. Keep information if any cancellations are done. Maintain and update records of chauffeurs been assigned for guest p/up. Always keep yourself available while on your shift. Proactive measures and arrangements for hiring extra cars be made if the requirement and situation demands.

Outsourced cars should also follow instructions set as per MS Translines standards related to Safety, cleanliness/presentably and route knowledge Cars should report at the airport for every p/up 30 minutes prior to the flight arrival. Once the car reaches the airport chauffeur should update the operational desk announcing his reporting. Chauffeur to escort the guest till the car / load the baggage and ensure his safe comfortable travel to desired instructed destination. Chauffeurs are given toll or parking amounts as required for every p/up Chauffeurs to update his driver app post pickup is done as it confirms that the pickup has been adhered timely

Drop Procedures

Executives should brief the chauffeur for the assigned destination or take instructions or reconfirm with the guest to avoid any confusions Once the guest is ready for travel ensure that he is dropped at the exact desired location.

After dropping wish the guest a very happy and pleasant journey Close all the relevant details in the driver app and report the desk over call confirming duty completion and readiness for next assignment.

Outstation duty procedures

Ensure the best maintained cars are dispatch or deployed. Car for local or outstation usage Enough Fueling / toll or parking amount is given to the chauffeur for traveling local or outstation duties. Chauffeur will be informed in advance if in case of outstation duty and may require his stay to be extended beyond 24 hours. Executive will coordinate or take instructions from the concierge for his complete itinerary or his interest of travel which can be briefed to the chauffeur for the guest comfort travel

Post Operations & Invoicing

After completion of assignments all duty slips / invoices are submitted further authorized and approved by the operation team for invoicing Copies of duty slips are attached with invoices as per approved procedures and submitted for payment process.

Post submission of invoice the acknowledge copy be forwarded to our internal accounts for record purpose. is at.
